This policy explains how VignoSaaS ("we", "us"), based in Coimbatore, Tamil Nadu, India, handles information on vignosaas.in and in VignoSaaS Booking, our online appointment booking service for clinics.

1. Who this policy covers

• Clinics that subscribe to VignoSaaS Booking (our customers).
• Patients who book an appointment through a clinic's booking page. For patient information, the clinic decides why it is collected, and we process it on the clinic's behalf.
• Visitors to vignosaas.in.

2. Information we collect

From clinics: clinic name, address, contact phone and WhatsApp numbers, doctor names and timings, logo, staff login email, and billing records.

From patients: name, mobile number, an optional short note, appointment details (doctor, date and time), and your choice to receive WhatsApp updates. We do not ask for medical history or health records.

Technical: basic server logs (such as IP address and browser type) used for security and troubleshooting.

3. How we use information

• To create and manage appointments for the clinic you chose.
• To send WhatsApp messages you agreed to: booking confirmations, reminders and cancellation notices to patients, and new-booking alerts to doctors.
• To provide support, prevent misuse, and keep the service secure.
• To bill clinics for their subscription.

We do not sell personal information, and we do not use patient information for advertising.

4. WhatsApp messages

Messages are sent from the VignoSaaS Booking number through Meta's WhatsApp Business Platform. Meta processes the phone number and message content under its own terms and privacy policy. Patients only receive WhatsApp messages if they opt in when booking.

5. Who we share information with

• The clinic you booked with.
• Service providers that help us run the service: our hosting provider, Meta (WhatsApp messages), and Razorpay (clinic subscription payments).
• Authorities, when required by law.

6. How long we keep information

We keep appointment records while the clinic's account is active and as needed for the clinic's records, legal obligations and dispute resolution. When a clinic closes its account, we delete or anonymise its patient data within a reasonable period unless the law requires us to keep it.

7. Security

The service runs over HTTPS. Access is protected by login, and each clinic can see only its own data. No system is perfectly secure, but we take reasonable steps to protect the information we hold.

8. Your choices and rights

• Ask to access, correct or delete your information.
• Stop WhatsApp messages at any time by contacting your clinic or us.
• Withdraw consent you have given.

Patients may also contact the clinic directly, since the clinic controls its patient records.

9. Cookies

vignosaas.in does not use advertising or tracking cookies. The booking dashboard uses an essential session cookie to keep clinic staff logged in.

10. Children

Appointments for children should be made by a parent or guardian.

11. Changes to this policy

We may update this policy. The "Last updated" date above shows when it last changed.
